Under the supervision of the Senior Director of the Villa Education Center (VEC), the Operations Coordinator is responsible for providing high-level administrative and clerical support to the Villa Education Center.
All work is performed within a systems-based framework and a psycho-educational model. This role works collaboratively with and in support of other services offered by St. Joseph’s Villa. Duties are performed safely, effectively, and to the highest ethical standards, in alignment with St. Joseph’s Villa’s mission, values, and guiding principles.
Participates as an active member of the Villa Education Center (VEC) team
Uses a variety of data collection tools (e.g., interviews, reports, surveys, licensing and accreditation requirements, and record reviews) to determine operational needs related to supplies, equipment, and training
Identifies communication gaps between services and administration and develops proposals to improve information flow; may directly communicate across departments as appropriate
Compiles, organizes, reformats, and analyzes data to identify trends for routine and ad hoc reporting
Monitors client file reviews, medication logs, placement agreements, IEP meetings and attendance, monthly reports, and service calendars for accuracy and compliance
Monitors expenses, codes invoices, and manages assigned budget areas
Takes and transcribes minutes for various meetings
Conducts periodic facility inspections and reports safety, cleanliness, health, or aesthetic concerns to appropriate personnel
Recommends environmental or operational improvements and, upon approval, coordinates with vendors or internal teams to implement changes
Represents VEC at regulatory, licensing, and community meetings as directed
Supports the program in obtaining and maintaining licensing or accreditation
Provides logistical support for meetings, conferences, tours, and special events, including scheduling space, arranging catering, and coordinating equipment
Schedules meetings and/or tours for the Villa Education Center as directed
Safeguards confidential and sensitive information
Advises leadership of concerns related to client care, health and safety, facility operations, or regulatory compliance
Evaluates work processes and recommends improvements to support continuous quality improvement
Attends required and professional development trainings mandated by St. Joseph’s Villa and regulatory or accrediting bodies
Performs other duties as assigned or required
Associate degree in a business-related field required
Minimum of one year of experience providing mid-level programmatic or administrative support required
One year of customer service experience preferred
Relevant experience may substitute for education at a rate of 1.5 years of experience per year of education
Proficiency with Windows, internet research, and Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
Valid Virginia driver’s license with an excellent driving record
